Privacy policy for Scribular

This Privacy Policy applies to the Scribular desktop application ("Application") created by Patrick Gallagher ("Service Provider") as a commercial service. This policy is designed to inform users of how data is (or is not) collected and used. Scribular is intended for use as is.
Your Privacy, First and Foremost
Scribular is built with privacy at its core. All audio processing and summarization happens entirely on your device. We never see, access, or store any of your session content—period.
Information Processing
Scribular may be used to process Protected Health Information (PHI) locally on the user’s device, however no session content or PHI is stored, transmitted, or accessible to the Service Provider. As a result, Scribular is not designated nor required to be a HIPAA covered entity. Users are solely responsible for complying with applicable privacy laws and professional guidelines (eg. keeping your computer up-to-date with security updates, and never sharing your computer's password).
AI Training and Session Content
Your data is never used for AI training or model improvement. We only use open-source, publicly available LLM models source from reliable providers.
Information We Collect
We do not collect or retain any session content, audio files, transcripts, or summaries. The only data we collect is:

Application Status Check: The app sends a lightweight, periodic signal to verify your subscription is active. No session content or personal data is included.

Basic usage statistics: The app may report the number of sessions per week, and the average length of sessions.

Email Address: Your email may be used for billing purposes, support requests, and product updates.

Website Cookies: When you visit the Scribular website, we may use cookies for marketing, analytics, and site performance. These cookies do not affect your in-app experience.
We don’t track you, analyze you, or collect hidden data. There’s nothing about your sessions or clients for us to see, share, or monetize—because none of it ever leaves your device.
Third-Party Services
Scribular itself does not use any third-party services within the desktop app. On our website, we may use third-party services to:
- Send emails
- Collect analytics for Scribular.com
- Track and fix website errors
These services only apply to website interactions, not the Scribular application.
Children's Privacy
Scribular is not intended for use by individuals under the age of 18. We do not knowingly collect any personally identifiable information from children.
Data Retention
Because Scribular runs locally, we do not retain or have access to session data. User-provided email data (e.g., for billing and support) is retained only as long as necessary for account support and legal compliance.

Although we don't collect session data, we take appropriate steps to secure any limited data we do manage (such as email addresses used for billing) through secure protocols and best practices.
